The person signing the Hire Agreement is the Hirer and must be aged 21 or older. The Hirer is responsible for seeing that these Terms and Conditions of Hire are met even if they are not personally present at the booking. Children and young people must be supervised by a responsible adult at all times.
Booking: A booking is only confirmed when the signed and completed Hire Agreement is returned together with the necessary deposit.
Payment Terms: For one off bookings, the fee is payable at least one week in advance. For recurring bookings, the hire fee is payable in advance on the first day of each month. If a booking is cancelled within one month of the date of the booking, 50% of the hire fee is payable.
Unless prior arrangements have been made:
the premises must not be occupied before the start of the hire period and must be vacated by the end of the hire period.
no equipment, goods or other materials may be left on the premises overnight.
The number of people in each room should not exceed the following: 70 persons (main hall); 60 persons (café area); 25 persons (art room); and 10 persons (meeting room).
The Hirer must only use the premises for the purpose specified in the Hire Agreement. The Hirer shall not sub-hire the premises to another person or allow the premises to be used for:
any business or commercial use unless the Hirer has sufficient Public Liability Insurance in place.
any purposes which are illegal.
LCH reserves the right for an authorised representative to enter the premises at any time. It also reserves the right to decline, cancel or close down a booking before or during a hire period. LCH will not be liable to pay any compensation or return any fees unless it would be unreasonable not to do so. All events or activities must finish by 10pm, and the building be vacated by 10:30pm at the latest.
Alcohol: LCH is not a licensed venue and, as such, the sale or supply of alcohol is not permitted on the premises. The Hirer may not apply for a Temporary Event Notice with respect to the premises.
Other licences: LCH has a license to play live or recorded music in the building, but the Hirer is responsible for obtaining any other permits, certificates or licences required in respect of the booking, for example to show a film or for catering purposes, and shall compensate LCH for any consequences should the Hirer fail to do so.
Emergency procedures: The Hirer must nominate a Fire Marshal who, for the duration of the booking, will be responsible for the safety of those present. The Fire Marshal must ensure they are familiar with the fire alarm points, extinguishers and LCH’s emergency evacuation procedures. The Fire Marshal shall:
ensure clear access to all emergency exits.
ensure fire doors are not propped or left open.
be responsible for the evacuation of the premises in an emergency.
be responsible for alerting the emergency services.
Accidents: The Hirer must ensure they know where to locate the first aid kit and the Incident Reporting Book. The Hirer must report all incidents resulting in injury or death to an authorised representative of LCH as soon as possible, and make a report in the Incident Reporting Book.
Children under the age of 16 must be supervised at all times by a responsible adult if using the kitchen next to the main hall or the kitchenette next to the café area. The main kitchen is out of bounds to all hirers.
Where bookings involve children or adults at risk, the Hirer should ensure they are aware of and will comply with LCH’s safeguarding policy and procedures.
The Hirer must ensure that any electrical appliances or equipment brought onto the premises are in good working order.
Premises and equipment: The Hirer shall be responsible for the cost of making good any damage to the premises or to LCH property caused during their occupation of the premises.
Alterations: No alterations are to be made to the fixtures and fittings including lighting and other equipment. Nothing is to be fastened to any part of the building using screws, nails, pins, sticky tape or the like. Only blu-tack may be used and all traces must be removed at the end of the hire period.
Keys: Keys are the responsibility of the person named as Hirer on the booking form and should be returned to an LCH representative or left in the appropriate secure key safe. Failure to return keys may result in the deduction of costs for their replacement from the deposit.
The premises and equipment must be left in a clean and tidy state and items used replaced correctly. All rubbish and items brought in for a booking must be taken away at the end of the hire period. LCH reserves the right to retain the deposit if the premises or equipment are not left in an acceptable state.
Smoking: Smoking and/or vaping are not allowed anywhere on the premises including in the courtyard and garden at the back of LCH.
Animals: Animals are NOT allowed without permission on the premises with the exception of assistance dogs, and they must not enter the kitchen or servery.
Nuisance: The Hirer is responsible for maintaining good order and ensuring that no nuisance is caused to other users of The Hub or to residents in the vicinity of the premises.
Parking: The Hirer is responsible for supervision of the car parking arrangements for their booking, so as to avoid obstruction of the access road. Vehicles are parked at the owners’ risk.
Parties: We are currently only taking bookings for children's parties (in the main hall only) and for other events and celebrations where alcohol is not consumed. The use of bouncy castles, large inflatables, paddling pools and smoke/fog machines is not permitted. The use of the outside area to the front of the main hall is not permitted (except for access and in the case of emergencies).
LCH is not responsible whatsoever for any loss or damage to any property brought onto the premises or for any injury to or death of any person entering the premises or grounds, except where it would be unlawful for LCH to exclude or restrict liability.
The Hirer shall indemnify LCH against any claims in respect of loss, damage, injury or death where any such claim is due to acts, omissions or neglect of the Hirer or anyone working for them. LCH recommends the Hirer to consider taking out appropriate insurance in respect of the booking.
